The Challenge: Modernising Membership and Professional Development Management
Prior to this project, FCQ faced challenges common to many membership organisations relying on disparate or inadequate systems. Managing a diverse membership base with varying requirements, tracking crucial professional standards like Continuous Professional Development (CPD) and Supervision, handling event registrations, and providing a seamless member experience required a centralised, robust, and integrated solution. Key objectives included:
- Streamlining membership applications and renewals for multiple distinct membership types (Associate, Accredited, Student, Affiliate, Life) with specific fee structures and data requirements.
Implementing a secure, dedicated members-only online portal. - Providing members with self-service capabilities to manage their profiles, supervisor relationships, and agency manager details.
- Developing a comprehensive system for members to track and report CPD points and Professional Supervision hours, including handling exceptions and varying requirements based on employment status.
- Improving event management capabilities, including member-only access, CPD point allocation, and integration with external tools like Zoom.
- Facilitating member connection through online directories.
- Ensuring secure and efficient payment processing (Stripe and EFT).
- Separating the member portal from the public website for enhanced security and user experience.
The Solution: An Integrated CiviCRM and WordPress Platform
Agileware delivered a comprehensive solution leveraging the power and flexibility of CiviCRM integrated with a WordPress website, hosted on a dedicated subdomain (members.fcq.org.au). This platform provided FCQ with a single, unified system to manage contacts, memberships, events, professional development tracking, and member communications.

- Membership Management: Forms were created for new applications and renewals across all membership types (Associate, Accredited, Student, Affiliate). These forms pre-fill data for renewing members and capture specific information relevant to each category, such as RTO details for students or funder information for practising counsellors. A secure payment process using Stripe or EFT was integrated, automatically generating tax invoices.
- Members Area: A secure, login-protected portal was established, granting current members access to exclusive resources and self-service functions. Members can update their profiles, manage passwords, download membership certificates, and access specialised features like CPD and supervision tracking.
- CPD and Supervision Tracking: Custom sections within the members’ area allow individuals to log CPD points and supervision hours. Forms capture activity details, dates, evidence uploads, and specific categories (e.g., Technical, Skills, Ethics for CPD; Group/Specialist for Supervision). The system automatically calculates summaries based on membership requirements and time worked, flags exceptions, and allows members to edit/delete entries within the current term.
- Event Management (CiviEvent): A full-featured event system was implemented, allowing FCQ to manage various event types (meetings, training, conferences). Features include an interactive calendar view, member-only event restrictions, public event registration with contact matching, automated email confirmations and reminders, and custom registration fields.
- Relationship Management: Members can manage their designated professional Supervisors and Agency Managers through dedicated pages, adding new contacts or activating/deactivating existing relationships.
- Directories: Opt-in Member and Supervisor Directories were created within the members’ area, allowing members to connect and find available supervisors based on specified criteria.

Unlike generic tracking systems, the FCQ solution incorporates specific rules and requirements unique to the financial counselling profession in Queensland. This includes:
- Minimum point/hour requirements based on membership type and employment fraction (FTE).
- Specific CPD category requirements (technical, skills, ethics, interactive).
- Caps on certain CPD activity types (e.g., board membership, reading articles).
- Specific calculations for eligible supervision hours, capping group/specialist supervision at 50% of the required total.
- Dedicated forms for logging activities and requesting exceptions, complete with evidence uploads.
- Detailed summary reports visible to members, showing progress against requirements.
